Transnational Staff Meetings

Project Meeting 1 (Meadowhead - Autumn 2017)
The UK school Project Manager hosted the initial project planning transnational meeting of project leaders from each country at the start of the project. The purpose and Agenda for the visit was focussed on establishing partnership agreements, to formalise ways of working and ensure realistic expectations.  We also finalised plans for the duration of the 3 year project. Other essential administrative tasks took place such as synchronization of school calendars to confirm student mobility visit dates for the first student exchange visit to Spain and planning of the visit schedule/risk assessment. Headteachers and Key staff from the German/Spanish team attended, with UK STEM and Arts curriculum leaders to discuss ideas. Visiting staff also attended lessons in ADT, Maths and Science to shadow staff in those areas and gain ideas about UK teaching of their subjects.
Outcomes: Initial plans were agreed for the project duration, partnership agreements signed, staff attended lessons, key dates were agreed and school calendars were synchronised. 

  

Project meeting 2 (Gymnasium auf der Karthause- Summer 2018)
This meeting took place after the first short term exchange of students (Spring to Spain) in July 2018 to complete End of Year 1 evaluation activities and to complete necessary interim project reports for each National Agency and ensure everything was on-track for the start of Year 2 with regards project activities and plans for the exchange visit to Germany. Key STEAM staff and project managers from all 3 schools including Deputy Heads attended. 
Outcomes: End of Year one evaluation was completed. Details for Interim project reports were drafted. Year 2 project activities were discussed and agreed for all 3 schools.  Dates for next exchange and transnational meeting were agreed. 

  

Project Meeting 3 (San Valero- Autumn 2019)
This meeting took place after the second short term exchange of students (Spring to Germany) in September 2019 to complete End of Year 2 evaluation and interim project reports for each National Agency and to ensure plans are in place for the start of Year 3 with focus on the final exchange visit to the UK in Summer 2020, and to finalise ideas and make firm plans for the celebration event showcase (June 2020 in Sheffield) to enable student ambassadors to disseminate their work and learning outcomes to all internal/external stakeholders. Key STEAM staff and project managers from all 3 schools including Deputy Heads attended. 
Outcomes: End of Year two evaluation was completed. Details for Interim project reports were drafted. Year 3 project activities were discussed and agreed for all 3 schools.  Dates for final exchange and transnational meeting were agreed. Outline plans for final showcase event and agreed end products were discussed and subsequently put forward to ambassadors for their ideas.

  

Project Meeting 4 (Gymnasium auf der Karthause - Summer 2020) - Cancelled due to the pandemic
This final meeting was due to take place following the final exchange of students (July 2020) to complete the final project evaluation and begin the process of final report writing, finalising end product for dissemination via the EU Dissemination platform and other local/national dissemination vehicles/platforms. Unfortunately due to travel restrictions thanks to the Covid pandemic we were unable to travel to Germany, so instead we arranged an online conference of all participants via Zoom instead. We had to agree on amended plans and devise contingency plans in terms of what would be realistic and achievable project outcomes and deliverables since we were not in school and all students had not attended school since March. We also discussed and agreed on Evaluation questionnaires.
Outcomes: Contingency plans were discussed and amended project outcomes and end products were agreed following subsequent discussion with small group of ambassadors. Deadlines were set for delivery of final products –namely video selfies, photo selfies, ambassador profile details and completion of electronic surveys for students, staff and parent stakeholders.

    

These meetings were essential to plan all aspects of the project to ensure success criteria is agreed (meeting 1), is on target (Meetings 2-3) and has been met (Meeting 4). The meetings allowed all staff from the 3 schools to conduct joint interim evaluation activities, progress new ideas, complete outputs for dissemination and ensure all partners were on track and working to agreed deadlines and tasks, as well as to discuss any problems and find solutions, to bring the project to a successful closure at the end.
